Dear Mr. Jacob,

The purpose of writing this letter is to bring to your notice about misconduct that our sales team faced recently with one of our clients, Sarah Tech.

On December 4th, 2023, a meeting was scheduled with Sarah Tech representatives and during that meeting their manager misbehaved with our sales team. He even refused to cooperate with our team and did not agree on making the changes about the delivery date because of the upcoming events in that area which will lead to closure of roads for couple of days.

Such kind of unprofessional and rude behavior is just not acceptable. If there is anything that is not suitable to the client, we can always discuss it on the table and find a mutually benefitting solution to it. But the kind of behavior the manager from Sarah Tech has showed and the kind of unacceptable language he has used, it is just not acceptable. We even have lots of witnesses to this meeting as an evidence.

I am writing this letter to request you to kindly have our HR Department initiate an investigation in this matter and take necessary actions in this regard as this kind of misconduct is serious.

I am available to share all the other details in relation with the incident. I would like to extend a warm thank you to you for taking out time and I will look forward for a quick response.

This notice is in strict reference to the charge sheet dated (date) that was issued for charges levelled against you by the undersigned and the subsequent Domestic Enquiry conducted. The Enquiry Officer has submitted his report in which you have been held guilty of misconducts alleged in the charge sheet dated (date). A copy of the enquiry is enclosed with this notice. After the careful examination of the enquiry report, enquiry proceedings and other connected documents by the management, you have been proposed the punishment of termination of your services as per the gravity of fraudulent measured.

You are expected to report with a viable explanation within THREE (3) days from the date of receipt of this notice as to why the mentioned disciplinary action should not be taken against you. In case we receive no reply within the stipulated time, it will be presumed that you have no explanation to submit and the said action will be preceded further.
