Lightbulb Mail to get approval for new joining

Hi All,
Can anybody tell me how to write a mail for the approval of any new joining ??????
What is the right way to inform about the joining of new employee and get approval for the same??????
Pls help me out to this.

Hi Mona,

The best way to get an approval is to First get the Vacancy Requisiton with you. Then accordingly (Pay Package, Designation, Grade, Function mentioned in Vacancy Requisiton) search for the candidate. When you have finalized, write a mail to the person who provides the approval and keep a cc mark to your superior and Head HR also.

In the mail provide the Vacancy Requisition, CV, Salary breakup approved (any other forms that you use) of the candidate and then seek an approval for his joining.

Also, mention the tentative date of joining in the mail.

Below is the Flow Chart for the same, hope it'll help you.

i) Get Vacancy Requisition (Via mail or Form filled)
ii) Source candidate accordingly
iii) Send a mail to the candidate about the Position and Salary you can Offer and get his/her approval
iv)Send a mail * appending the CV, Salary Breakup (Approved), Vacancy Requisition &
approval/acknowledgement from candidate

* (The mail should be send to the Concerned Person and Senior & HR Head should be kept in loop)
