Job Appointment Letter for New Employee

The purpose of writing a job appointment letter for new employee is to inform him that he or she has been selected for a particular job opening in the company. It is a blend of welcome letter and overview letter. This is usually framed by the hiring manager but sometimes other company officials also prepare such letters. Difference Between Offer Letter And Appointment letter

The concept of offer letter and appointment letter sounds quite confusing for some employees. It actually seems the same on a general note. But both the terms have their respective differences. Let us discuss about them in detail today:

Offer letter

Offer letter is normally sent to a candidate by the recruiter to negotiate with the candidate about the salary and other details he/she may agreed upon. However, it is not the final document as it is of no proof of the candidate joining the organization. It contains information in the following section:

  • Position offered
  • Reporting structure
  • Date of joining
  • Salary in annual CTC
  • Location

However, offer letter does not confirm your appointment in the organization. In other words, you are being placed through campus recruitment and offered a job with the offer letter. It is chance to help you decide if you want to accept the offer or not.

If the candidate accepts the offer, he/she will have to produce a copy of acceptance of his resignation letter from the present job or the offer letter will stand null & void.

Appointment letter

Appointment letter on the other hand is the main approved confirmation that both the employee and employer are committed to the terms and conditions mentioned in the letter. Such a letter indicates the date of joining and the probation period with other general terms and conditions mentioned in the letter. It is produced at the time of joining or within 15 days from joining.

It also contains the detailed breakup of the CTC offered and other important information such as eligibility of leave, retirement age, condition under which transfer will take place, location of the company, notice period during resignation and so on.

However, in a few organizations, just one of the two, appointment or offer letter is offered to the selected candidate.

1. A consolidated amount of Rs._______ (Rupees _______only) will be paid to you per annum.

2. The consolidated amount will include:

a) Rs. _________ per annum as fixed pay, and
b) Rs. _________ per annum as variable pay which will be linked to your performance and of the company.

3. The appointment will be offered for a period of two years from the date of joining. However, it may be renewed on a mutual basis. In figures, the arrangement will be effective from (date) and valid for a period of _______years/s.

4. You will be located at (place) initially and will require reporting to _______ or any other person nominated by the company. The company will have the sole right to transfer you to any other Departments/Divisions during your tenure. Your service could be reassigned to any other company of the (Organization Name) Group as well.

5. During your tenure, you may also be assigned duties that may become nec(Organization Name)y at the discretion of the Management in any Branch or office of the Company and/ or its Subsidiaries or Associate Companies.

6. You will be allowed 18 days leave pro-rated per calendar year but only at the call of a genuine emergency work.

7. A comprehensive Accident/ Medical Health Insurance will be provided to you and your spouse.

8. However, you will not be entitled to any other benefits apart from the above mentioned ones.

9. This appointment is subjected to termination upon three-month notice on either side or payment in lieu of shortfall in the notice period.

10. You will be bound by the rules and regulations of the company during your tenure.

11. You will not be allowed to engage yourself in any other assignments or work for any other organization without the consent of the management during your tenure.

12. You will also be required to maintain secrecy with regards to the work or confidential information of the Company and/ or its subsidiaries or Associate Companies. In case found guilty, the management will have every right to terminate your appointment with immediate effect.

13. The Company lays emphasis on all statutory compliance. Hence you are expected to ensure compliance with various statues in your area of operations.

Based on your performance and conduct, this period may be increased or decreased at sole discretion of the management and unless an order in writing is given to you, you shall be not be deemed to have been confirmed.

 

8.      Separation: During probation or extended period(s) thereof, your service are liable to terminated without assigning any reason or payment in lieu thereof. Subsequent to confirmation, either side can terminate this contract by giving a notice of One Month or payment of One month basic salary in lieu thereof.

 

 

 

 

 

 

 

 

 

 

9.      Retirement: You shall retire from the services of the company on attaining the age of 58 years on the basis of the age submitted by you, subject to your being medically and mentally fit.

Your appointment in the company is full time and you shall devote yourself exclusively to the business of the company. You will not engage yourself in any other gain full employment or business (part – time or full – time) as long as you are employed in the company. Any action contrary to this shall render your services liable for termination without any notice or payment in lieu thereof.

 

You are required to deal with the Company’s money, materials and documents with utmost honesty. If at any time you are found of moral turpitude or of any dishonesty in dealing with the Company’s money, materials and documents, you shall render yourself liable for termination without any notice or payment in lieu thereof.

 

You will not divulge or give public any information related to any aspect of the company to anyone not employed by the company, including in such activity shall render you liable for termination without any notice or payment in lieu thereof.

 

If any declaration given or information furnished by you to the company are found to be false or if you are found to have willfully suppressed any material information at any point of time during your services are liable to be terminated immediately without any notice or payment in lieu thereof.

 

This appointment shall be subject to your being found and certified physically and mentally fit. Further you are required to maintain yourself in a state of medical fitness (physical & mental). In case at any particular point of time you are found medically unfit during your services, the Company will be liable for termination without any notice or payment in lieu thereof.
