Dear Amit,

We would like to inform you that for the position you have joined Sinha Group of Companies, the management has decided to provide you with a laptop, a mobile phone and a SIM which comes under group connection of the company.

As per the Company’s policy, the designation on which you have joined, allows us to issue you with a Moto Xplay handset and a Dell laptop. We would further like to inform you that the company will bear only the rental cost of the mobile phone. In case of exceeding the limits, the payments will be debited from your salary.

We would like to share with you that you will be responsible for taking care of the handset and the laptop. In case of loss or damage, you will be responsible for the replacement.  And when you will leave the company then you will be required to return the laptop, the mobile phone and the SIM card that the Company is issuing to you to the HR department.

Sample Cell Phone Reimbursement Policy

I have attached Sample Cell Phone Reimbursement Policy.

 

Introduction

The objective of this policy is to facilitate the Employees in their jobs by increasing communication within the organization and especially with the customers and to prevent them from the hassle of purchasing Sim Cards / Hand Sets.

Objective

This policy has been introduced to:

v     define clearly who is entitled to a cell phone and how the costs of purchasing the asset plus ancillary equipment, and the rental and call costs will be met.

v     streamline statement administration and payment, and the reimbursement of the costs of business calls.

Applicability

v     Employees at the level of executive of special duties and Managers.

v     Employees who by virtue of their function have a constant need to be in contact with other employees and to attend external customers or office work through mobile phone.

When Sim + mobile allotted to employee

 

Reimbursement rules

Company is entitled to pay monthly rental charges + taxes + call charges up to a limit as per the grades & perks.

  • Bill amount exceeding other than official calls should be recovered by the employees.
  • Expenses in excess of approve limits can be reimbursed only on approval from their immediate reporting authority.
  • At top management levels reimbursement can be direct and full.

Mode of Reimbursement

  • Direct payment by the company to the service provider.
  • Monthly reimbursement to employee on presentation of detailed bills.
  • Excess amount of bills other than official calls can be charged by employee in cash/ cheque of debited to their salary.
  • Prepaid card of some limits defined as per grades can be given + lifetime free incoming calls.

Safety rules

  • Handset should be insured.
  • In case of handset damaged / lost (non – insured) cost should be recovered from the employees.

Operative Guidelines

  • Where providing of such facility is warranted, formal approval will be sought.
  • Asset purchased form duly signed by HR head.
  • Cell Phone authorization letter needs to be filled.
  • Cost of mobile should be within entitlement.
  • Replacement of handset by existing employees can be done after expiry of…………..period.
  • Employees are liable for safety of the phone.
  • In case of employee separation from company, sim + set to be surrendered to the company by employee.
  • Full and final settlement of employee will be put on hold until the sim & set is not surrendered.

Advantages

  • Easy accessibility to all employees.
  • Employee benefit – reducing effort of buying sim +set.
  • Company can save the cost by purchasing the same corporate plan and set for all employees.
  • Employees will get a connection at low cost.
  • Free group calling

    When only sim is allotted  

 

  • Set cost is saved.
  • Selling of used phone and purchasing of new phones transactions are not needed.

 

 

Sim + some % of cost of mobile in cash as per the entitlement

 

  • Reduction in purchasing formalities.

Disadvantages          

Increase in paper formality.

  • Support documentation leads to increase in cost (in terms of labour, stationary and efforts).
  • Employees refusal in case of used phone.

 

When only sim is allotted

 

  • Employees may not take interest in purchasing a mobile set.

 

Sim + some % of cost of mobile in cash as per the entitlement

 

  • Increase in feeling in inequality in employees

 

No Sim, No mobile from Company

 

  • Company can contact to the service provider for employees facility.
  • Company can pay first time installation charges.
  • Service provider will intimate officially to the company about the number being allotted to an employee.
  • All the formalities related to support document will be done by the company only.
  • Employees will contact directly or company can act as initial link between the service provider and the employees (like in case of salary account)

 

Reimbursement rules

  • Reimbursement can be done upto a limit as per the entitlement after presentation of detailed bills.
  • For top management, bills can be reimbursed fully.

 

Advantages

  • All the documentation will be done through service provider leads to reducing the cost and saving of time, which can be used in some other important work of the company.
  • Reduce filing and recording work.
  • Saving of sim and set cost.
  • No need to employees to surrender the no. or set on parting from the services.
  • Employees will get low rate of calling.
  • Company will get benefits in terms of free calling between the group.
  • Handset insurance formalities will also not require, leading to saving of cost.

 

The total expenses on mobile phone claim can not exceed the limits as given below:

  1. Top management: upto Rs. ………/- per month (full reimbursement).

ELECTRICITY AND WATER CHARGES

19. Coupon system will be prevalent at the canteen. Students/Staff can purchase coupons

TERMINATION OF THE CONTRACT

 

20. The Contract can be terminated by either party, i.e., <PARTY NAME> or <COMPANY NAME>, after giving three months written notice to the other party extendable by mutual agreement .

Corporate Security Policy

Sample corporate security policy

1. Materials security

Material being brought into the factory premises should be disclosed at the security and a security gate pass to be obtained before carrying it into the factory premises.

Suspicious materials that come into the factory will be stopped at the main gate and thoroughly investigated before being sent into the factory.

Material being taken out of the factory should be accompanied by a gate pass signed by the appropriate authority. The same is to be produced before the security on leaving the factory premises.

Employees found taking out any material(s) belonging to the factory without a valid gate / security pass are liable for disciplinary action.

2. Movement Of Vehicles

All personnel bringing their own vehicles should put the security clearance stickers in a prominent place on the vehicles that is visible to the security staff.

All non personnel vehicles that come into the factory premises will be asked to park outside the factory premises.

All vehicles are liable to be checked by security personnel while entering and leaving the factory premises.

3. Identity Cards

All employees are provided with an identity card (ID) which, contain employee particulars.

The employee shall carry his ID card on him / her self visibly, at all times when inside the factory and present it while entering or leaving the factory or on demand by the security guard, supervisor or the HR department.

The ID cards shall be the property of the factory and should be surrendered to the HR department on cessation of employment.

Loss or damage of the ID card should be notified to the HR department immediately and a requisition for a duplicate card will have to be applied for in the Duplicate ID Card Issue Form.

If the employee loses or damages his / her ID card for the first time the ID card will be replaced by the management free of charge. On loss or damage of an company ID card for the second time a fee of 1 USD will be charged.

4. In and out of premises

Entrance and exit from the premises shall be through prescribed gates only and every employee shall show his / her ID card to the security on duty while passing through such gates.

The gates may be closed during working hours at the discretion of the management and employees must not leave the premises during the working hours without prior written permission from the appropriate authority.

An employee who is not on duty shall not remain on the premises without permission from the manager or his / her authorized official.

5. Visitors security

Visitors entering into the factory must be first verified via the intercom to check if the person they wish to meet is available and where they are, then the visitor has to register at the security office and obtain a visitors pass.

While leaving, the Visitor should sign in the visitors register again at the security office mentioning his time of exit and return the visitors pass duly signed by the person visited before leaving the factory premises.

Visitors are liable to be checked by security personnel while entering and leaving the factory premises.

The visitors are not to be allowed on the shop floor without the permission of the Local HR head / Factory manager.

6. Search Of Employee(s)

As deemed necessary; all employees entering or leaving the factory at any time are liable to be searched whilst within the premises by a person authorized to do so by the manager.

To ensure that they are not in unauthorized possession of property belonging to the company or of other employees or of any articles prejudicial to the security of the factory or to other employees.

In case of a female employee the search shall be carried out by another female person authorised by the management.

7. Business materials

No employee shall take any paper, book, photographs, instruments, apparatus, documents or any other property of the factory or of the premises nor shall be in any way pass, or cause to be passed or disclose or cause to be disclosed any information or matter concerning the operations of the factory to any unauthorized person, company or corporation without the written permission of the Factory Manager.

8. Implementation of this policy

If any employee is found doing so he / she would be liable for disciplinary action or may be suspended / terminated from service.
